Information about the privacy of your data

On 25th May 2018 new data protection legislation, the General Data Protection Regulation (GDPR), came into force across Europe. Having been brought into UK law, the UK GDPR places additional obligations on all businesses to make sure that they understand the personal data they hold. They’re also required to ensure that all personal data is dealt with in a structured, secure and consistent way.

As a not for profit we do not need to be registered or pay any fees to the Information Commissioners Office, but we still need to comply with the data protection obligations. 

How and when we collect information about you

We may collect and store information about you when you interact with us.

Examples of this are:

  • You participate in an event.
  • You sign up to our e-newsletter.
  • You provide it on a form to book a stall, book our reusable cups or provide feedback from an event.
  • Commenting on our Website (see below)
  • When you interact with us on social media platforms such as Facebook, Instagram, X or LinkedIn we may also obtain some personal information about you. The information we receive will depend on the privacy preferences you have set on each platform.

We combine the information from these sources with the information you provide to us directly.

When providing permission for third party organisations to share your data you should check their Privacy Policies carefully to understand fully how they will process your data.

We will use your personal information for the following purposes

  • Donation processing – We will process personal information you provide in order to administer any one-off or on-going donations.
  • Responding to a request- If you contact us with a query, we may use your personal information to provide you with a response.
  • Volunteering, events and community projects – We will process your details for the use of contacting you about volunteering, events or community projects that you are involved or are interested in taking part in. 
  • Fundraising or direct marketing – We will only send you marketing information by email if you have given us specific consent to do so. If you withdraw your consent and then subsequently opt in to receive marketing information again, then your preferences may be updated.
  • Market research and surveys – We may invite you to participate in surveys to help us improve our website, fundraising, projects and events. Participation is always voluntary and no individuals will be identified as a result of this research, unless you consent to us publishing your feedback.

Consent by email

When we collect any personal information, you will be given the option to opt-in to receive communications from us via our Newsletter. Where you agree, we may send you information about our events, campaigning, sustainable hints and tips and other activities. By providing personal data to us you consent to its use as described in this Privacy Policy. If at any time you want to alter your preferences or request that we stop communicating with you please complete the unsubscribe section at the bottom of our newsletter.

Who do we share your information with

We will only use your information for the purposes for which it was obtained. We will not, under any circumstances, sell or share your personal information with any third party for their own purposes, and you will not receive marketing from any other companies, charities or other organisations as a result of giving your details to us.

Website Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have left comments on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
